*Mazi Adoption and Family Services is a small but mighty family services agency dedicated to providing quality permanency practices to families and children within the Commonwealth.

Licensed by the Commonwealth of Pennsylvania, we offer programs in connection with The Statewide Adoption and Permanency Network (SWAN) as well as preparing private home studies and post-placement/post-adoption reports for both domestic and international adoptions.
We serve families adopting from any state or country program, and work with any applicant regardless of race, ethnicity or special considerations/needs.
*Work experience requirements: *At least two years professional experience, with work history in social work, child welfare, or adoption services preferred.
*Education Requirements: *Bachelor’s Degree in human services field preferred, along with proficiency in MS Office Suite, excellent writing skills, and professionalism are a must.
Employee must possess the competency to multi-task with high attention to detail in a self-paced environment.
Employee should also demonstrate excellent clinical and assessment skills, along with strong communication.
Reliable transportation required, in order to meet any travel requirements of the position.
*Position Summary:* The Adoption/Permanency Administrative Support will provide clerical and administrative services as they relate to SWAN Services and/or private pre-adoption home studies and post-adoption services conducted by Mazi Adoption and Family Services.
Services will be carried out in compliance with all agency, State, county and Country’s adoption requirements.
Services performed depend on agency service type and capacity.
*Hours Per Week / Pay Structure: * Position to begin at 20 hours per week, with the opportunity for fluctuation as to be agreed-upon.
Hourly range of $18.
00-$20.
00 to be based on experience and qualifications.
*Staff Expectations:* · Follow service guidelines as outlined by Pennsylvania Department of Human Services, Pennsylvania Statewide Adoption and Permanency Network (SWAN), County, and Agency; · Coordinate all services and resources to benefit children and families; · Regularly utilize electronic platforms such as Microsoft 365/SharePoint, internal agency calendar, SWAN Portal, etc.
as applicable to role within organization; · Interact effectively and professionally with staff, clients, and team members: not to exclude colleagues and partners outside of Mazi Adoption and Family Services; · Utilize effective time management; · Maintain open lines of communication with Mazi Executive and Coordinator Level Leadership, and participate in scheduled, regular supervision with direct supervisory staff, and inter-agency meetings as required; · Occasional work in remote locations (ie.
County buildings) may be required; · Maintain confidentiality in accordance to agency, State, county and federal regulations, including documentation management and internal/external communications; · Attend agency outreach, fundraising, and awareness-based event; · Participate in internal staff events and meetings , as required by direct supervisory staff; · Maintain an annual minimum of 20 hours of training (part-time) (10 formal / 10 informal) *Role Responsibilities:* · Provide support and advocacy surrounding private home study, post-adoption, and supervisory services as assigned, following the requirements outlined by PA Department of Human Services · Provide support surrounding SWAN Units of service as assigned, following the requirements outlined within each service’s Benchmarks.
· Processing Clearance Applications · Processing Record Requests · Initial outreach to new Family Profile assignments, completion of Household Composition Form, and mailing out of associated initial FP Paperwork · Participate in introductory family consults/information sessions as needed · Compiling paperwork (Report of Intermediary and Post Placement Home Study) and submitting legal packets for finalizations to identified adoption attorney, as needed · Development of new client files in Sharepoint · Document maintenance, including but not limited to: preparation, scanning, printing of paperwork; · Maintenance of HelloFax account and document distribution · Assistance in development and coordination of outreach, fundraising, awareness events.
· Assistance in outreach efforts regarding growth of post-permanency services · Attend and represent agency at SWAN and community matching/recruitment events as needed; · Utilization of the SWAN Portal, including Cost/Time log maintenance, and benchmark utility to track progress of assigned caseload; · Other responsibilities as assigned Job Type: Part-time Pay: $18.
